Only a Few Days Left Until June 10: Who Needs to Digitize Their Employment Record Book and How to Check Its Status
By June 10, 2026, the transitional period for entering data from paper employment record books into the electronic register in Ukraine will end. This primarily concerns citizens who started working before January 1, 2004, as their work experience is mostly recorded in paper documents.
Information can be submitted to the Pension Fund by both employees themselves and employers. To do this, it is necessary to upload scanned copies of the employment record book through the electronic portal of the Pension Fund of Ukraine. After processing, the information will be entered into the electronic employment record book.
How to find out if the data has already been transferred
You can check the digitization status in your personal account on the Pension Fund’s web portal. In the electronic employment record book section, users can view the uploaded scanned copies of documents and review the results of their processing after the procedure is completed.
What to do if the employment record book is lost
If the paper document was lost, including due to military actions, work experience can be confirmed with other official documents. Suitable documents include employment contracts, employer certificates, payroll documents, or extracts from employment orders.
In cases where the enterprise was located in occupied territory or in an active combat zone and archival documents were not preserved, the law allows confirming work experience through testimonies. This requires involving at least two people who worked with the applicant during the same period and can confirm this fact with relevant documents.
Will work experience be lost after June 10?
The Pension Fund emphasizes that the end of the established deadline does not mean the loss of work experience. Even after June 10, 2026, citizens will be able to submit scanned copies of employment record books and other documents to enter information into the electronic register.
The agency stresses that failure to digitize by the specified date does not affect already acquired insurance work experience. Therefore, citizens who do not manage to complete the procedure on time will be able to do so later without the risk of losing pension rights.
