The deadline for digitizing employment record books expires on June 10: how this will affect pensions
In Ukraine, the transitional period related to converting employment record books into digital format is coming to an end. The deadline for entering information from paper documents into the Pension Fund's electronic register expires on June 10.
The electronic employment record book system has been operating in the country since 2021. It allows storing all information about citizens' employment activities in digital form, including data on hiring, transfers to other positions, dismissals, and other personnel changes.
Special attention should be paid to records made before January 1, 2004. These data must be digitized and transferred to the insured persons' register to be considered when determining insurance periods and future pension payments.
To do this, employment record book holders need to prepare scanned copies of all pages containing employment records and upload them via the online services of the Pension Fund of Ukraine.
The Pension Fund explains that the basis for calculating insurance periods is personalized accounting data. For periods of work before the introduction of such a system, the confirmation of work experience is documents entered into the electronic register, including digitized employment record books.
At the same time, after June 10, paper employment record books will remain valid documents. No fines, financial sanctions, or other penalties for late digitization are provided by law.
However, citizens should consider an important feature. If data from the paper employment record book are not entered into the electronic system, automatic pension assignment will be impossible. In such cases, to arrange pension payments, one will have to personally contact the Pension Fund and provide the necessary documents in paper form.
